  1. Definitions

The following definitions will apply to this whole agreement:

  1. you’ – is the data subject who is looking for flexible office space
  2. ‘Broker’ – workspace broker who works with the data subject to provide information on flexible office space 
  3. ‘Operator’ – flexible office space owner. They provide office space as a service 
  4. Flexible office space’ – is workspace that is provided on a flexible basis, it includes desk space, office space, events, meeting rooms, Virtual offices
  5. User’ – the natural person(s) who are using the Services after (i) either registering themselves as well as a Contracting Company, or (ii) being invited on behalf of or by a Contracting Company.
  6. Contracting Company’ – the party to whom NoCo IQ is to provide its products or services pursuant to this agreement.
  7. Company identified’ – is the company that is identified as being behind a visitor to an operator/broker’s website. 

     

  1. Introduction

This Privacy Notice lets you know how NoCo IQ will look after your personal data in accordance with data protection legislation, namely the GDPR.  This includes what you tell us about yourself and what we learn by carrying out our services which are described below.  This Privacy Notice explains how we process (i.e use) your personal data and tells you about your rights under data protection law.      

Born in Europe, NoCo IQ was built with compliance, transparency, and privacy in its DNA. Unlike other platforms and tools, NoCo IQ understands Europe’s complex regulations and how to remain compliant without it affecting our clients’ earning potential. That way, we can offer data solutions that are not only effective but also align with our values.

Full transparency on data sources

At Noco IQ, each data record can be traced back to one or more specific sources, often with actual deep links to where the data was collected. Our data is based on entries across the web, in national trade registers and chambers of commerce, as well as other publicly available data sources, often enriched with firmographics and financials.

We have developed a network that analises all relevant public content, i.e., websites, trade register description, and firmographic information. Our technologies automatically extract details from online sources like websites, job listings, financials, social media profiles, news articles, trade registers, and diverse databases.

Our full corporate name is NoCo Commercial Limited (company number is 687232).  Our registered office address is 32 Baggot Street Upper, Dublin 4, Ireland. NoCoiq is a business to business intelligence platform for the flexible workspace industry that provides real-time market data about the unconverted web traffic on the websites of flexible office space providers as well as brokers in order to help operators convert leads and close business deals.

At NoCo IQ, we prioritise the protection and confidentiality of your personal data. This Privacy Notice explains how we collect, use, and handle your personal data when we carry out our services and sets out your rights under data protection law.

In particular, this Privacy Notice  describes:

  1. The purposes of the processing of your personal data and the legal basis relied on for such processing;
  2.  A description of how our business works and the  personal data we collect 
  3.  The categories of personal data processed;
  4.  The recipients or categories of recipients of personal data (i.e who we share the personal data with);
  5. Storage and retention of personal data;
  6. How we keep your personal data  secure;
  7. Your rights as a data subject

     

We process your data in order to explore your requirements for a workspace. We use your personal data to allow brokers/operators to reach out to you to create personal offers for a workspace requirement. 

We will use your data on the basis that this is in our legitimate interest in connection with running our business and does not materially impact your rights, freedom or interests.  Legitimate interest–as one of the legal bases outlined in the GDPR– means a company can collect and process personal data if they have a legitimate reason to do so and the rights and freedoms of the individual concerned do not override this legitimate interest.

NoCo IQ processes personal data in our systems based on legitimate interest (Art. 6 (1) lit. f GDPR) in marketing our products, improving and promoting our services, and growing our business.

Please note: We swiftly delete any personal data of data subjects who object to the processing of their personal data.

2) How our business works     

By revealing the companies behind visitors to the website of  operator workspaces and brokers we help        operators/brokers to learn exactly what they’re interested in. Combined with our AI and up to 33 Trigger Events like financing, partnerships, expansion plans, and more, we can show brokers/operators what their prospects are interested in and when they should reach out.     

NoCo IQ’s tracking code, machine learning, and our expansive databases come together to analyse  site visitors of operator workspaces and broker websites. Using domains, locations, company names, and contacts, we reveal the companies which websites visitors work for, even if they are working remotely.      

          

We identify a company domain using an IP tracking tag. We then enrich this company domain with company information (size, industry, locations, domain) and anonymised online activity. We then process this information through a series of filters and preferences to determine where to assign these companies. We send each lead to a single broker or operator depending on the broker and operator preferences. The broker or operator will then reach out to relevant contacts within the company identified to establish a workspace requirement. 

3) Categories of personal data processed

NoCo may collect personal data from you in the following circumstances:

Data collected from you when you create an account, complete a form, contact us directly or subscribe to our services.

Personal data will be collected when you have completed a form on an operator or broker’s website. We will then process this information directly to the operator/broker of origin. We will add SME company information and what pages they visited on the operator/broker’s website.      

NoCo IQ collects data from you in the following circumstances:

Via automated means through our data collecting software when there is traffic on an  operator/broker      website or, when a potential lead completes an enquiry on a client’s website. We obtain various types of data related to client website traffic when  individuals access websites of our operators/brokers. 

This data may include information that directly identifies [individuals] such as company name. The information we obtain generally consists of automatically collected data from interactions on  operator/broker websites           or data provided by website traffic through enquiries.

4) Recipients or categories of recipients of personal data

We share your data with Operators/brokers who are clients of NoCo IQ. We will share information that has been identified through the tag on their website.

Service providers

In addition to the disclosures described in this Privacy Notice, we may share information about you service provider who help us provide our website, technology, CRM and related service to you. Other examples include market research, marketing, advertising and If you or your organisation requests to participate, we may share your information with the relevant third-party about the requested product or service.

Legal, local authorities or government authorities. 

If we are asked to by law we will share information that we have about you with the relevant authorities. 

  1. We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected. We process your data in order to explore your requirements  for a workspace. We use your personal data to allow brokers/operators to reach out to you to create personal offer for a workspace requirement or as required by law. 
  2. We process and store your personal information as long as it is necessary for the fulfilment of our contractual and legal obligations. If the data are no longer required for the fulfilment of contractual or legal obligations, these are regularly deleted, after each sales cycle.
  3. We will remove personal data 2 years after its creation date as we will deem it to be no longer required.
  4. We securely dispose of or anonymise any personal data when it is no longer needed.

We implement technical and organisational measures to safeguard your personal data against unauthorised access, loss, or theft.  Infrastructure is hosted with Airtable and Hubspot with automated testing in deployment and reviews. We don’t use personal data for any testing purposes. All staff at NoCo have strict access control policies in place.      

We regularly review and update our security practices to ensure compliance with industry standards and best practices.
